It is free, it lives in the browser, and it shares like a Google Doc. Here is where Looker Studio genuinely wins — and the three places it does not.

Looker Studio removes the two biggest barriers to dashboards: licence cost and installation
When a business asks us for dashboards, the assumption is usually that this means Power BI, and that it means licence costs. Often it does. But for a large number of businesses, Google Looker Studio — the tool most people still call Google Data Studio — does the job completely, for free.
It deserves a fairer hearing than it usually gets. Here is where it genuinely wins.
Unlimited reports, unlimited data sources, unlimited viewers. No per-user licence for people who only need to look at a dashboard.
This single fact changes who can have dashboards at all. A twelve-person business in Jamshedpur that would never approve Rs 1 lakh a year in BI licences can have a proper dashboard by Friday.
Sharing with people outside your organisation. Sending a live dashboard to a client, a vendor or an investor costs nothing in Looker Studio. In most paid BI tools, external sharing is either a licence problem or an embedding project.
It runs entirely in the browser. No desktop application, no Windows requirement, no IT approval, no version mismatches between the person who built the report and the person opening it.
For businesses where management uses a mix of Windows laptops, MacBooks and iPads, this removes an entire category of problem.
Anyone who has used Google Docs already understands Looker Studio sharing: a link, view or edit permissions, done. Multiple people can edit the same report simultaneously and see each other's changes live.
Compare that with the usual BI workflow of publish, assign workspace roles, manage licences, and explain to someone why they cannot open the link you just sent them.
If your business already runs on Google services, the integration is genuinely seamless:
Plus MySQL, PostgreSQL and SQL Server directly, and several hundred partner connectors for platforms like Shopify, Meta Ads and LinkedIn.
This one is quietly powerful for smaller businesses. Your team already maintains data in Sheets. Point Looker Studio at it, and the dashboard updates as the sheet is edited — no export, no upload, no refresh schedule to maintain.
Field staff fill a Google Form. It writes to a Sheet. Looker Studio reads the Sheet. Management sees updated numbers within seconds of submission — an entire data collection and reporting loop, built in a day, at zero licence cost.
Looker Studio can join up to five data sources on common keys without any external tooling. Combining ad spend from one source with revenue from another to show true return does not require a data warehouse.
It is not a substitute for a real data model, and we say so below — but for straightforward joins it is fast and it works.
Any report can be scheduled as a PDF to a list of recipients, daily, weekly or monthly, with no scripting. For businesses that want management to receive numbers without logging in, this is included rather than a project.
For anything more sophisticated — validation, conditional alerts, exception-only emails — you will want a proper pipeline, which we cover in automated morning reports.
A usable marketing or sales dashboard can be running in under an hour from a template. For a business testing whether dashboards will actually change how they work, that speed to first value matters more than sophistication.
Reports are responsive by default and open in any mobile browser with no app install. Given that most business owners check numbers on a phone between meetings, this is a bigger practical advantage than it sounds.
There is one report at one URL. Nobody is emailing Dashboard_v4_final_REVISED.pbix around. Everyone opening the link sees the same current numbers — which quietly removes the most common cause of disagreement in review meetings.
An honest assessment has to include this, and any consultant who tells you one tool wins every time is selling something.
| Limitation | What it means in practice | Use instead |
|---|---|---|
| No true in-memory model | Complex multi-table relationships are awkward; blending caps at five sources | Power BI |
| Weak calculation language | Advanced time intelligence and custom business logic are hard or impossible | Power BI (DAX) |
| Performance on large data | Slow unless the source itself is fast, such as BigQuery | Power BI import mode |
| Limited row-level security | Harder to give many roles different slices of the same report | Power BI |
| Browser-only authoring | No offline development | Power BI Desktop |
Choose Looker Studio for reach, speed and cost. Choose Power BI for depth.
If you want that comparison in full, we have written a direct Looker Studio vs Tableau vs Power BI breakdown, and a wider four-tool comparison including Excel.
Yes. Looker Studio is free to use, including creating unlimited reports and sharing them with unlimited viewers. There is a paid tier called Looker Studio Pro which adds team workspaces, Google Cloud support and finer access management, but the core product that most small and mid-sized businesses need costs nothing.
They are the same product. Google renamed Data Studio to Looker Studio in 2022 when it brought the tool under the Looker brand after acquiring Looker. Existing reports, links and functionality carried over unchanged, so any guide referring to Google Data Studio applies to Looker Studio.
Three matter in practice. It has no true in-memory data model, so complex multi-table logic is harder than in Power BI. It can become slow with very large datasets unless the source is fast, such as BigQuery. And its calculated-field language is far less powerful than DAX, which limits advanced time intelligence and custom business logic.
Yes. Looker Studio connects natively to Google Sheets, BigQuery, Google Ads, Analytics and Cloud SQL, and to MySQL, PostgreSQL and SQL Server directly. Excel files are typically used by uploading them to Google Sheets or Drive first. Several hundred additional partner connectors cover most other business systems.
For most small and mid-sized businesses, yes. If your reporting needs are sales, marketing, operations and finance summaries drawn from a handful of clean sources, Looker Studio does the job well at zero licence cost. If you need heavy data modelling, row-level security across many roles, or offline desktop authoring, Power BI is the stronger choice.
We build Looker Studio dashboards for businesses that want fast, shareable reporting without licence costs — and we will tell you honestly if Power BI is the better fit for your case.
